THINGS YOU NEED TO KNOW:
 
OTTAWA ROTARY HOME LUNCH – MONDAY, NOVEMBER 27TH.
Lunch is at the usual time, however we will meet at the Rotary Home, 823 Rotary Way, Gloucester.  Help us welcome our partners from the Ottawa Flying Club as we honour their commitment to Fly Day and have updates from the Rotary Home.
 
PAUL HARRIS / XMAS DINNER will be held on Monday, December l8th 6:30 p.m. at the Royal Ottawa Golf and Country Club, 1405 Aylmer Road, Gatineau, QC.  Join us that evening to celebrate the season and the newest inductees to our Paul Harris Fellowship.  All members and spouses are encouraged to attend.  Cost is $70.00 per person (all in).  Cash Bar.  6:00 p.m. Cocktails, with a 6:30 p.m. dinner.   An RSVP is required. Sign up Sheet will be circulated at lunch or email Margot.

We expect each member to be responsible for selling 3.

MANAGER’S REPORT:
 
Paul Harris Gala:  It was moved by John Lark, seconded by Campbell Osler that the Club hold a dinner event at the Royal Ottawa Golf Club on Monday, December l8, 2017 to recognize our newest inductees into the Paul Harris ranks.  Approved.
 
Club Meeting – Winter Hours – The Mess will be closed from Dec l5th to Jan 7th.  So following December 11th luncheon, and our Dec l8th dinner at the Royal Ottawa we will not meet again until January 8, 2018. At that time we will begin our rotation of every 2 weeks throughout the months of January, February 2018.
 
SECRETARY’S REPORT:
 
The board recognized that this was the last board meeting for Club Secretary, Glenn Campbell, and thanked him for his meritorious service to the Club during his membership, including Club President, Club Secretary, Program Committee Chair, Enews Committee Chair, member of the New Generations Committee (student counsellor), Ways and Means, Sergeant at Arms and other volunteer duties too numerous to mention!  His term officially ends December 31, 2017, although his last luncheon meeting is October 23rd.  He will be sorely missed.
 
We are delighted to acknowledge that Sally Burks has accepted the role as Club Secretary going forward. She will be officially nominated at our election on December 11, 2017.
 
One of the key items for the Club Secretary in the coming year will be to finalize and ratify our Club Bylaws and Constitution with the District. In order to remain compliant with the District we must hold elections by December 31st each year.  (This is a change in our standard protocol of elections held at the end June).  There was question as to whether or not our Insurance coverage would be affected if we were not in compliance with the District.  It was agreed that we would modify our by-laws to reflect the December election and proceed accordingly, appointing the positions of President, President-Elect and Vice President for 2018-2019 before the end of December.
 
In addition, Glenn recommended that we purchase the upgraded “Club Runner Add-On Suite” to enhance our club’s use of the program by Committee Chairs and Members alike.  Our club should endeavour to leverage the tools and power by the Club Runner application.  Motion was made by Glenn Campbell, seconded by President Charles that the $8.00 (approx.) a month for the Club Runner Suite be approved.  Approved.
 
 
 
PRESIDENT’S REPORT:
 
President Charles welcomed all to the table with the objective of providing direction to the club, in its best interest and with respect to the law.  He looks forward to achieving our mandate together as we work on our Club Strategic Plan and new Membership initiatives.
 
District 7040 will be hosting a “Million Dollar Dinner” to thank donors to the Rotary International Foundation on the evening of November 4th. Attendees at the dinner have each donated or pledged a minimum of $12,700 (USD$10,000) to the Rotary international Foundation and they will be recognized for this commitment at the dinner. The total of all the pledges and donations from all those attending the dinner exceeds USD$ 1 million.
District 7040 is seeking funds towards the costs for the dinner so all of the proceeds from the pledges and donations can go directly to the RI Foundation. Nabil Oudeh who organized this dinner is a former District Governor and past President of our Club.
It is moved that the Rotary Club of Ottawa transfer $4,000 to District 7040 towards the cost of the Rotary International Foundation, donor recognition dinner planned for November 4th.    Approved by email vote.
 
Fly Day 2017 held on September 30, 2017 was a successful event, raising $8,000 for the Ottawa Rotary Home.  President Charles expressed his appreciation to the team who pulled the event together.
 
World Polio Day – October 23, 2017.  All donations made to Rotary International in support of Polio Plus will be matched 3 to 1 by the Bill and Melinda Gates Foundation.  Motion was made by President Charles that the Club/Charity Fund give a donation of $1,000.  Treasurer Carol McCalla indicated we did have the funds available.   Motion was seconded by John Lark.  Approved. 
 
Operation Come Home Scholarship Program:
President Charles re-briefed the board that due to the fact that the provincial decision to provide grants to cover education costs for low income students, renders our current agreement with Operation Come Home void and requires that the Board consider what, if any, steps it will take to honour our commitment to OCH for the remaining 2 years of our agreement to 2019. ($100,000 over 5 years 2014-2019).
 
Angela Kelly was on-hand to discuss a potential alternative in the support of the Operation Come Home School of Achievement, which has recently suffered a loss in funding of $20,400.00 as a result of cutbacks at the Ottawa Carleton Catholic School Board.  The board of directors was very open to hearing a more formal proposal from Operation Come Home.
 
Steps required:  President Charles to draft a letter to OCH to end our current contract of support students through tuition payments, school supplies etc., and express an interest in further discussion of other ways to provide support to their organization.
 
Margot to report on remaining funds left from our initial support of $100,000.00.
 
COMMITTEE REPORTS;
 
Program Committee – with the departure of Glenn C the position of Chair must be filled.  To that end a job description will be circulated to the membership.
 
Adventure in Citizenship Committee has had its initial planning meeting.  Dates are set for April 29 to May 02, 2018.
